Project Administrator

L.I. Smith & Associates (LIS) is seeking a detail-oriented Project Administrator to join our team. This full-time position is available at our Paris office. 

As the Project Administrator, you will provide administrative support for our team. Responsibilities include updating project budgets, plans, invoicing, contracts, and reports. Good organizational and communication skills are essential, as you will be responsible for maintaining essential project information and coordination with the Project Manager.  

 

Responsibilities: 

  • Manage, track, and coordinate project needs; Monitor project closeout process 
  • Work with Project Manager to ensure subcontracts and change orders are completed and executed in a timely manner   
  • Organize and review project budgets, staffing, and work plans to confirm appropriate fees     
  • Liaise with project managers, clients, and support staff to ensure expectations and deadlines are met 
  • Review and approve invoices with Project Manager; Coordinate with Billing Specialist to ensure billing information is correct and streamlined in order to facilitate timely and accurate invoicing 
  • Monitor accounts receivable and provide support to Project Managers with collection efforts; Communicating directly with clients as needed    
  • Assist Project Managers with overall accounting needs throughout the project’s lifespan 
  • Ensure all company templates are updated to current industry and brand standards 
  • Implement standards for certificate, licensure, and certification renewals; Oversee process 

 

Requirements: 

  • Bachelor’s degree in accounting, business management, or related field preferred 
  • Proficient in Microsoft Office (Excel, Word, Outlook) 
  • Must be able to work independently and in a team setting 
  • Excellent Interpersonal communication skills, organization, and time management
